Sustainability considerations and digitisation efforts are increasingly shaping our everyday lives. This is noticeable at many levels in the management of the building stock: where previously the focus was primarily on efficiency and cost reduction, transparency, measurability and comparative values are increasingly also considered critical factors for success. These requirements from building operation must already be taken into account in the planning and construction process so that the building can be handed over to operation without any problems after completion.

As a link between different roles and phases, FM during planning and construction plays a key role. We offer comprehensive services in all construction phases, from the preliminary study, the preliminary and construction project, through the approval process, tendering, to the implementation project and commissioning. On the one hand, we deal with the optimisation of the structure from an operational point of view, the optimisation of life cycle costs and sustainability requirements. On the other hand, we advise you on issues relating to data and systems as well as operation. The basis for our space and cost analyses is the FM Monitor, the largest facility management data pool in Switzerland.

(Digital) operating concepts

An operational concept maps all operationally relevant processes and the provision of services related to the management of a property. On the one hand, the responsibilities in commercial, technical and infrastructural FM are defined and, on the other hand, the associated interfaces between users, tenants and any other parties are regulated. The digital transformation and the requirements for sustainability are substantially changing real estate operations. Information on the operational organisation, the maintenance plan, operating costs, cleaning or the waste concept is increasingly being supplemented with issues relating to the central control of operational data or the linking of various building technology systems and operating systems. We cover both the "classic" and the data-driven content and ensure that your operational specifications are taken into account in the planning and construction process.

You can choose whether we record the operating concept in a document or provide it digitally. The latter offers several advantages. For example, mobile access and an intuitive design are possible, terms can be found easily thanks to the topic search, multilingualism is guaranteed, approval workflows can be created and, above all, the effort required for future adjustments to processes or service levels is much lower. 

Supplementary concepts are usually needed to complement the operational concept. They describe, for example, how a site is developed from a logistics point of view or how energy and media billing is carried out in combination with a connection for self-consumption (ZEV). If necessary, we prepare detailed concepts, such as parking concepts, disposal concepts or emergency concepts.

Business organisation

The sourcing strategy is determined on the basis of the operating processes defined in the operating concept (Make-or-Buy). If the services are provided by internal staff, an operational organisation must be designed and the required resources quantified. We calculate the required number of employees with the help of the calculation tool pom+quanto and support you in setting up and implementing an efficient and effective operational organisation. If the future building operation is carried out with external service providers, we support you in purchasing the services externally (FM tenders).

FM-Reviews

In order to ensure that the planning and execution of the structure enable suitable building operation, we carry out FM reviews. To do this, we use a database-based checklist with over 400 checkpoints. It is based on our findings from more than 80 completed projects and is constantly being expanded. In this way, we ensure that all requirements and standards are met and that your specifications are implemented.

The checklist is based on the basic principle that each operational requirement is always placed on a space such as a meeting room or a technical system such as a ventilation system. Each checkpoint is referenced by the attributes object type, project phase, management process and responsibility (construction or operation). The review normally takes place at the end of the pre-construction and construction project phases. The FM review of the planning status then takes place using the checklist created for the specific project.

Operating and life cycle costs (LCC)

An integral view of real estate requires a holistic view of costs. The determination and evaluation of life cycle costs (LCC) and operating costs therefore enjoys a high priority in our pbFM mandates. In order to map the costs holistically, we use a range of methods and data pools such as the Life Cycle Cost Calculator, the pom+quanto calculation tool or benchmarks from the FM Monitor.

Data requirements

Real estate data is becoming increasingly important for organisations. They make it possible, for example, to determine the sustainability of a building, automate processes, identify patterns, make predictions or show correlations.
This presupposes that the relevant data is available in the company and is maintained in the IT systems. The data-specific requirements must therefore be introduced before construction begins and defined for each process or use case.

We support you in eliciting and formulating your requirements and ensure that they are data protection-compliant. If required, we also support you in the development of an overarching data strategy, in data governance issues or in data management.

Commissioning

Commissioning large buildings is a challenge. This is due to the increasing complexity of the interrelationships and the merging of the trades. Often the commissioning phase is inadequately planned, time is too tight or construction delays are to be absorbed by shortening commissioning. But a smooth handover into operation requires a methodical, structured approach. This is the only way to guarantee that the interplay of constructional, technical building and operational processes can be recognised and controlled in time and in a targeted manner.

We support you in the transitional phase between execution and commissioning by planning, accompanying and documenting the interdependencies between the trades before acceptance within the framework of an interdisciplinary trial operation. In this way, an orderly handover can be ensured and a functionally stable building operation achieved.

Quality assurance operation

The continuous review of facility services is a time-consuming task. We have developed various digital instruments and tools for quality control ("Q controlling") of FM mandates to simplify this process. With these, the services can be continuously measured, tracked and documented in terms of quality and money. The data collection is carried out according to a defined specification.

For this purpose, we develop specific, user-friendly Low Code Apps, cockpits and visualisations with the aim of interactively providing users with all the information and findings relevant to them. In doing so, they determine the relevant questions and the individual scope of the app. In this way, processes can be accelerated and data quality improved.
